English with Saima uses a booking system to receive requests for English lessons. This notice explains the information used by that system. The site administrator currently operates the booking calendar using a personal Google account.

What a booking collects

When you request a lesson, we collect your name, email address, chosen lesson length and time. We record the request status and a private status link so you can check whether the lesson was approved. The booking form uses Cloudflare Turnstile and limited request logging to reduce automated abuse. The booking system stores a hash of your IP address for rate limiting, not the plain address in its booking database.

How your details are used

We use your details to reserve the requested time, review the request, prevent overlapping appointments and, if approved, create a Google Meet link. A pending hold or confirmed event in the administrator’s dedicated Google Calendar includes your name, email address, time and lesson length. The administrator’s primary calendar is checked only for busy times; its event details are not copied into booking records.

The administrator can see booking requests and draft notification previews in a password-protected dashboard. Student emails are not sent automatically at present. Save your private status link after requesting a lesson; anyone with that link can see the booking status and, after approval, its Meet link.

Google Calendar access

The administrator authorizes the booking system to access Google Calendar. The system uses that access to check availability, create or remove lesson events, and generate Meet links. Google OAuth tokens are encrypted before storage. We do not use Google Calendar data for advertising or sell it. The administrator can disconnect the calendar in the dashboard.

Storage and services

Booking records, status links in hashed form, draft notification previews, and encrypted Google tokens are stored in Cloudflare D1. Cloudflare also processes the form’s security check. Google processes calendar events and Meet links under its own policies. Booking records are retained until the administrator removes them; pending holds normally expire after 24 hours or at the advance-booking cutoff, whichever is sooner.

Your choices

You may request access to or deletion of your booking information by contacting English with Saima on Instagram. Include enough detail to identify the request, but do not post your private status link publicly. If the calendar is disconnected or unavailable, new requests are paused.
